One Photographer for the Whole Year: When a Framework Agreement Makes Sense
September 22, 2026Prague is one of Central Europe’s busiest cities for meetings, incentives, conferences and exhibitions — the MICE market. For organisers, that is good news: excellent venues, experienced suppliers, easy travel. It also means competition for the same dates.
The busy months
May, June, September and October carry most of the conference and incentive business. December is a separate peak for company Christmas events. In those months venues, hotels and suppliers are booked early.
What books first
Venues and hotel room blocks go first, then technical production and catering, then photographers and video teams. Organisers who book photography together with the venue avoid most of the last-minute problems.
Multi-city programmes
A growing number of programmes combine Prague with Vienna, Budapest or Berlin. If you want the same visual style across all of them, book one team for the whole tour. We regularly travel for clients to those cities, and travel is quoted as a clear line item.
A simple rule
If your event is in a peak month, contact suppliers as soon as the venue is confirmed. Outside peak months, a few weeks is usually enough.
Plan for the week, not just the day
In peak weeks, several large events often run in the city at the same time. That affects more than suppliers: taxis, restaurants for team dinners and hotel rooms fill up too. If your programme includes an evening out, reserve it when you book the venue.
What to send when you enquire
For a quick answer from any supplier, send the dates, the venue if you have it, the number of guests and whether the programme runs over several days or in parallel rooms. That is enough for a fixed quote; the details can follow.
