Prague’s Busy Event Calendar: What It Means When You Book Suppliers

The First 30 Days as a Prague Event Photographer: What the City Teaches You Fast
September 23, 2026Most companies book an event photographer one event at a time. That works well for a single conference. But if your company runs several events a year — a kick-off, a customer day, an office opening, a Christmas party — there is a better way to work: one photographer, agreed once, for the whole year.
What a framework agreement is
It is a simple agreement that fixes rates and terms for a period, usually a year, and gives your events priority in the photographer’s calendar. You do not commit to a number of events; you commit to the terms. Each event is then booked with a short email instead of a new quote, a new supplier check and a new briefing from scratch.
The main benefit: one visual style
When the same team photographs all your events, the pictures look like they belong to one company. The colour, the framing, the way the brand is shown — everything is consistent. Your website, your annual report and your social media stop looking like a collection of different suppliers’ work.

Less briefing every time
The second event is easier than the first, and the fifth is easier still. The photographer already knows your management team, your brand rules, your sponsors and the pictures your communications team uses most. Briefings get shorter and the results get better.
We see this in practice. We have photographed more than one event for the same client in Prague — an office opening and a brand day — and the second one needed far less preparation because the basics were already known.

Fixed rates and simpler admin
Your finance team approves one supplier once. Rates are known in advance, so budgeting each event is simple. For agencies and PCOs who run events for several clients, the same logic applies at a larger scale — see our page for event agencies.
Priority on busy dates
Prague’s busy months fill up early. A framework agreement means your dates are protected as soon as you know them, even in December.
When it makes sense
- Your company runs three or more events a year in Prague or nearby cities.
- You care about a consistent look across your communication.
- Different people in your company book events, and you want one reliable supplier for all of them.
- You need portraits of new employees or managers regularly.
When it does not
If you run one event a year, a framework agreement brings little. Book per event and keep it simple.

What to agree
- The period and the rates for the typical event types you run.
- Delivery standards: our full gallery arrives within 48 hours, with a same-day selection when needed.
- The licence, including use by partners or sponsors if relevant.
- How dates are requested and confirmed.
- Portraits: whether headshots for new staff are included on event days.
How it works in practice
At the start of the year you share the events you already know — even roughly: “kick-off in February, customer day in May, summer party in June, Christmas party in December”. We confirm the rates and reserve the dates. When an event is confirmed, you send the details in a short email; we reply with the coverage plan and the fixed price based on the agreed terms. New events added during the year follow the same simple process.
Building a brand library
Over a year, a single team builds something more valuable than a set of event galleries: a consistent library of photographs of your people, your offices and your brand in action. Communications teams use it for recruitment pages, press releases, presentations and the annual report long after the events themselves.
Portraits along the way
Every event where your team is together is a chance to update portraits: new hires, promoted managers, speakers. With a framework agreement, a short headshot session can be added to any event day with the same lighting and retouching as last time, so the whole company’s portraits match.
Questions to ask before you sign
- Which event types and durations are covered by the agreed rates?
- How far in advance must dates be requested to be guaranteed?
- Who covers an event if the main photographer is unavailable?
- Can the agreement include video?
If you run several events a year and want to talk about it, send us your event calendar. You can also read about one of those events in our story on Allegro’s new Prague office opening.
