How Far Ahead to Book an Event Photographer in Prague

AI in Event Photo Editing: What It Changes for Your Delivery, and What It Should Not
September 15, 2026Event photography prices in Prague vary a lot, and it is not always clear why. This article gives you our real starting points and, more usefully, the five things that change a quote up or down. With them you can compare offers from different photographers on the same basis.
Where prices start
Our coverage starts at €169 for workshops and networking events, €199 for trade fairs and private events, and €250 for conferences, brand launches and galas. Every quote is fixed in writing before you commit, so the number you agree is the number you pay.
1. Duration
The biggest factor is simply how long we are on site. A two-hour evening reception and a ten-hour conference day are different jobs. Tell us the real start and end times, including setup and the evening programme, so the quote reflects the day as it will actually run.
2. Parallel sessions
One photographer can be in one room. If sessions run in parallel, or an exhibition floor runs alongside the main hall, you need a second photographer — otherwise one of the rooms is not covered. This is the most common reason a quote changes after the agenda arrives.

3. Speed of delivery
The full edited gallery arrives within 48 hours as standard. If you need a selection of 30–60 images during the event itself — for your press office, LinkedIn or a closing slideshow — that requires on-site editing and has to be arranged in advance, so mention it when you ask for a quote.
4. Licence
Our standard licence covers your own use without time limits: marketing, press, social media, internal communication and annual reports. Paid advertising campaigns or distribution to third parties, such as sponsors, are agreed separately. Ask about it early if sponsors expect pictures.
5. Extras
Video, on-site headshots for your team, a same-day selection and travel outside Prague can all add to the quote. Booking photography and video from one team is usually cheaper than two separate suppliers.
How to compare two quotes
What matters less than you think
Some things clients worry about matter less than they think. The number of guests matters mainly when it means parallel rooms, and the language of the event does not change the quote. What matters is the time, the number of photographers and what you need delivered.
Deposits and invoicing
A booking deposit secures the date, particularly in May, June, September, October and December. The invoice is issued by a registered Czech business, so your finance team receives a compliant document.
When a quote goes down
Quotes can also go down. If the agenda shows that the afternoon is internal and does not need coverage, or that the evening programme is short, the quote can be adjusted. The aim is to match the coverage to what you will actually use.
Put them side by side and check: the hours covered, the number of photographers, the delivery time, the approximate number of edited images, and the licence. A cheaper quote often covers fewer hours or a narrower licence. For a full breakdown, read what event photography costs in Prague, or see our pricing page.
